Admin Assistant
Responsibilities:
-
Performs administrative duties such as filing, typing, copying, scanning etc.

Maintains office supplies by checking stock to determine inventory level and anticipating office needs.

Plans and supports scheduled meetings and trainings.
-
Creates invoices according to company practices; submits invoices to customers.
-
Maintains and updates vendor and customer files, including name and address changes, mergers, mailing attentions and certificates of insurance.
-
Verifies invoices, processes payments, and reconciles AP accounts.
-
Processes payroll by reviewing timecards, calculating, and entering data.
-
Maintains and updates employee files, including address, benefits, tax, vacation requests, and payroll changes.
-
Maintains internal contact lists.
-
Answers phone calls and routes callers to the appropriate party.
-
Maintains office email by monitoring and distributing emails to appropriate party.
-
Effectively and efficiently communicates with co-workers verbally and electronically.
-
Completes assigned tasks based on priority.
Qualifications:
-
High school diploma or equivalent.
-
2 - 5 years of experience in an office setting is required.
-
The ability to work independently and as part of a team is essential to the role.
-
The ability to effectively communicate with personnel and customers is essential.
-
Knowledge of Accounts Payable.
-
Knowledge of Accounts Receivable.
-
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook is essential.
-
Knowledge of Deltek Computer Ease is beneficial but not required.
-
Must possess a strong work ethic and positive attitude.
-
Organization and attention to detail is essential.
-
Physical ability to lift up to 25 pounds.
-
Ability to sit for long periods of time is a must.
